Contact Inquiries — Index & Guidelines

This directory tracks all contact form submissions received through baseworks.com/contact/ and the responses sent. The purpose is twofold:

  1. Record keeping — a searchable archive of every inquiry and how it was handled
  2. Pattern building — over time, recurring inquiry types inform reference responses, FAQ updates, and eventually automated handling via n8n

Until n8n automation is in place, every contact form submission should be manually logged here.

Each inquiry file follows this structure:

The full text of the contact form submission, preserved verbatim.

Internal notes on the inquiry: fit assessment, relevant context, any flags or questions before responding.

The actual response sent (or draft for review). Include the date sent.

Any subsequent exchanges or outcomes.

Beyond the category tag, add tags that describe the specifics of the inquiry. Common tags:

  • pricing — asks about cost
  • fit-assessment — asks whether the program suits their condition or background
  • chronic-condition — mentions a health condition relevant to participation
  • movement-professional — inquirer is a practitioner or educator in a movement field
  • montreal — Montreal-based inquirer
  • referral — came through a referral or specific campaign
  • meta-campaign — likely came via a Meta (Facebook/Instagram) ad

  1. Receive contact form email
  2. Create inquiry file using the template above
  3. Assess and draft response
  4. Send response, update status to responded and add response_date
  5. Log any follow-up exchanges
  6. When the thread is complete, set status to closed

As inquiry volume grows, this archive will inform:

  • Reference responses — common answer patterns get formalized in Reference Responses
  • Email templates — reusable templates go in Email Templates
  • FAQ updates — recurring questions that should be addressed on the website
  • n8n workflows — eventual automation for intake, categorization, and initial response drafting
